John Webster Architecture is responsible for the personal information described in this policy. This policy applies when you visit this website, submit an enquiry, use the price calculator, use the AI project assistant or ask to be contacted.
Information this website collects
When you send a project enquiry, the website collects the information you choose to provide. This can include your name, email address, phone number, property postcode, project type, message, source page and a fee-calculator summary.
Basic technical information may also be recorded in server logs for security and reliable operation. This can include an internet protocol address, browser information, requested page, time and error details. The website’s one-time security tokens, Cloudflare Turnstile checks, duplicate detection and rate limits use limited technical information to reduce automated spam and abuse.
Why the information is used
Enquiry information is used to respond to you, understand the potential project, arrange an initial conversation and prepare a proposed scope of service. Relevant records may also be kept to administer the relationship, protect the website, meet legal or professional obligations and establish or defend legal claims.
Depending on the circumstances, this processing is based on taking steps at your request before a contract, performing a contract, complying with a legal obligation or the practice’s legitimate interests in responding to enquiries and operating its business. Optional analytics and LiveChat technologies are used only with your consent.
Your information is not sold. It is not used for unrelated email marketing unless you make a separate, clear choice to receive it.
AI project assistant
The project assistant uses Google’s Gemini service to generate general information about residential architecture and likely next steps. Chat messages are sent to Google for processing. Under Google’s free Gemini API tier, Google states that submitted content may be used to improve its products. Do not include personal, confidential or sensitive information in the chat message box.
The assistant provides general information only. It cannot inspect your property and does not give property-specific legal, structural, fire-safety, planning or building-standards advice. It cannot guarantee consent, feasibility, costs or timescales.
If you use the separate “Ask us to contact you” form inside the chat, your name, email address and phone number are sent to this WordPress website and emailed to the practice. Those dedicated contact fields are not added to the Gemini prompt. A short summary of the recent conversation is saved with the contact request so the practice can understand the context.
Fee calculator
The architectural fee calculator runs in your browser. Its result is an indicative budgeting guide rather than a quotation. If you submit an enquiry from the pricing page, the resulting summary is included with the information sent to the practice.
Who may process information
Information may be processed by suppliers that support the website and communications. These include the website host, WordPress service providers, the outbound email service, Cloudflare when it verifies an enquiry through Turnstile, Google when you use the AI assistant or consent to analytics, and LiveChat.com if you choose to enable the older live-support widget. Professional advisers, insurers, regulators or public authorities may receive information where this is necessary or required by law.
Some suppliers may process information outside the United Kingdom. Where this happens, the supplier is expected to use an applicable legal transfer mechanism and appropriate safeguards. Their own privacy terms also apply to their services.
Cookies and similar technologies
The website uses a necessary cookie to remember your privacy choice. Google analytics and the older LiveChat widget remain blocked unless you allow their category. Cloudflare Turnstile is treated as a necessary security service and still operates when optional cookies are rejected because it is required to protect the enquiry forms.
See the cookie policy for the current categories, common cookie names and typical durations. Use the control at any time to change your choice.
How long information is kept
Information is kept only for as long as it is reasonably needed for the enquiry or project, business administration, security and applicable legal or professional record-keeping. Different records may therefore be kept for different periods. When information is no longer required, it should be deleted or anonymised.
Security
Reasonable technical and organisational measures are used to protect information. Enquiries are stored as private WordPress records. Forms use short-lived one-time tokens, Cloudflare Turnstile server verification, hostname and action checks, strict rate limits, content validation and duplicate suppression. The Turnstile secret and Gemini API key are held server-side rather than exposed in the public page. No internet service can, however, guarantee absolute security.
Your data-protection rights
Depending on the circumstances, you may have the right to ask for access to your personal information, correction, deletion, restriction, portability or an objection to processing. Where processing relies on consent, you may withdraw that consent without affecting earlier lawful processing.
You may also complain to the Information Commissioner’s Office. It is usually helpful to raise the concern with the practice first so it can be investigated.
